    Communication Process

    The steps below explain the process involved in our grievance mechanism for handling requests and concerns.  Dedicated staff will review and investigate concerns and an initial response will be provided within five days of contact.

    STEP 1

    A citizen communicates with the Upper Beaver project team

    When a citizen shares an observation, question, concern, comment or complaint – hereafter referred to as a “report” – regarding the Upper Beaver project to our project team, through one of the different means of communications available, the Community Relations person for the project will contact the citizen within five working days, unless the citizen has maintained anonymity.

    STEP 2

    Communication with citizen

    The Community Relations person will attempt to gather all the information necessary to fully understand the reason for the report and will agree with the citizen on the next steps.

    STEP 3

    Analysis of the situation

    The team of the department or sector concerned by the report will then verify the facts, identify sources and immediate corrective measures, if possible, as well as permanent corrective measures and preventive measures, if possible.

    STEP 4

    Follow up with the citizen

    The Upper Beaver Project’s Community Relations liaison will contact the citizen to provide an update on the situation. Note that some reports may take longer to process, depending on the issue at hand and challenges encountered. If possible, the corrective, preventive or mitigation measures can be put in place and shared with the citizen.

    STEP 5

    Assessment of appreciation of efforts

    Depending on the type of report, the citizen may be contacted at a later stage by the Community Relations person to assess if the efforts or actions were successful in reducing or addressing their concerns. This assessment and feedback will help improve our practices throughout the development of the project.
